Everything Timesheet Tech does, in detail
The short version is on the home page. This is the long one — what each part of Timesheet Tech actually does, so you can tell before you sign up whether it fits the way your business already records hours.
Time logging
Fast time logging
Employees log hours against a day, a job or a project in seconds — no training, no manual to read.
- Enter a day in a single row: the hours, what they were against, and a note if it needs one.
- Split a day across several jobs when someone moved site halfway through the afternoon.
- Copy yesterday, or copy last week, when the pattern is the same and only the hours change.
- Decimal hours or start and finish times — whichever your team already thinks in.
- Half-finished days save as they go, so nothing is lost when a phone drops signal on site.
Tuesday
Logged from a phone, on site
- Install — Unit 12 5.5h
- Callout — Bridge St 2.0h
- Travel 0.5h
Day total
8.0h
Three entries, twenty seconds, done before the van pulls off.
The weekly view
A clear weekly view
Everyone sees their week at a glance, so missing days get spotted and filled in before payday.
- The whole week on one screen, with the days that are still empty called out rather than hidden.
- A running weekly total, so anyone can see where they are against their contracted hours.
- Submit the whole week in one action once it is complete.
- Submission reminders go out on your schedule, so chasing people is not somebody's Friday job.
- Managers get the same view across their team: who has submitted, who has not, and what is outstanding.
This week
Mon 4 – Fri 8
- Monday 8.0h
- Tuesday 8.0h
- Wednesday Missing
- Thursday 6.0h
- Friday 7.0h
Logged so far
29.0h
One missing day, flagged on the Wednesday — not discovered on payday.
Approvals
Approvals in one click
Managers review submitted timesheets, send anything odd back with a note, and approve the rest in a single click.
- One queue of everything waiting on you, oldest first, so nothing sits forgotten.
- Approve a whole week at once, or open a day and query a single entry without rejecting the rest.
- Send a timesheet back with a note saying what needs changing — the employee sees the reason, not just a rejection.
- Multiple approval levels for teams where a supervisor signs off before the office does.
- Approved timesheets lock, so the numbers payroll receives cannot quietly change afterwards.
Waiting on you
4 timesheets submitted
- Aoife M. — 38.0h Approved
- Daniel K. — 41.5h Query sent
- Priya S. — 36.5h Approved
- Tom B. — 40.0h Pending
One query, three approvals, under a minute of a manager's morning.
Reporting
Live reporting
See hours by person, project or period as they are logged — not three weeks later when the invoice is due.
- Filter by person, team, project, job code or date range and watch the total update as you go.
- Compare a project's logged hours against what you quoted, while there is still time to do something about it.
- Spot overtime as it builds rather than when it lands on the payroll run.
- Break a month down by client so you know which work actually paid for itself.
- Every figure drills down to the entries behind it, so a number you doubt can be checked.
Hours by project
This month, to date
- Riverside refit 164h
- Unit 12 install 96h
- Callouts 48h
- Workshop + admin 32h
Total
340h
Riverside was quoted at 320 hours — worth a conversation this week, not next month.
Payroll and billing
Payroll-ready exports
Export approved hours to CSV and hand your payroll or accounts team a file they can use straight away.
- Export approved hours for any pay period as CSV, Excel, JSON or a fixed-width file, whichever your payroll package reads.
- Bespoke layouts: map the columns, headers, date and hour formats and employee references to exactly what your payroll software expects, rather than reformatting a generic file by hand every month.
- Save a layout once and re-use it every pay run — and keep more than one, for the payroll system and the accountant who want different things.
- Only approved time is included, so nobody is paid from a draft somebody forgot to submit.
- Turn billable hours into an invoice for the client and download it as a PDF.
- Re-run an export whenever you like — approved numbers do not move once they are signed off.
Pay period export
1 – 31 August
- Employees included 18
- Approved hours 2,884
- Unapproved, excluded 0
- Layout Payroll (bespoke)
- Format CSV, XLSX or JSON
A file your payroll software imports as it is, with no column shuffling first.
Imports and integrations
Imports and an API for the systems you already run
Employees, jobs and projects come in from the systems that already hold them, and approved hours go back out — so nobody keys the same record into two places.
- Import new employees from the HR or payroll system that already has them, so a starter can log time on day one without being re-keyed.
- Import jobs and projects from your job management, CRM or accounts package, so people log against the codes the rest of the business already uses.
- A REST API, with scoped tokens, for pushing people, jobs and projects in and pulling approved hours back out.
- Bulk CSV and spreadsheet import for the first load, and for anything easier done as a file than a script.
- Re-running an import updates the records it matches instead of duplicating them, so a scheduled nightly sync is safe to leave running.
- Webhooks fire when a timesheet is submitted or approved, so the next system in the chain starts without polling for it.
Last sync
Nightly, 02:00
- Employees in 3 new
- Jobs in 12 updated
- Approved hours out API
- Duplicates created 0
- Keyed in by hand Nothing

Anywhere access
Works wherever they do
On site, in the van or at a desk — Timesheet Tech runs in the browser on any phone, tablet or computer.
- Nothing to install and nothing to update: it is a website, so it works on the phone people already carry.
- Built mobile-first, so logging a day on a small screen is the case it was designed around, not an afterthought.
- Light and dark themes that follow whatever the device is already set to.
- Keyboard and screen-reader friendly, so the whole team can use it.
- Sign in with a password and two-factor, or with a passkey and no password at all.
